Black Business Edmonton (“BBE,” “we,” “us,” or “our”) is an operating name of Black Business Alberta Network, a registered non-profit organization.

BBE operates the website located at bbedm.ca, including its business directory, registration forms, events, programs, communications, social media platforms, and related online services, collectively referred to as the “Services.”

BBE is committed to protecting personal information and maintaining a respectful, professional, and safe environment for its community. This Privacy Policy explains:

BBE is not responsible for private conversations or exchanges of information between independent vendors, businesses, customers, participants, associates, or other third parties unless the information is collected, received, used, or controlled by BBE.

If you submit a business listing, BBE may collect information about you and your business.

Information designated for publication may be made publicly available through the BBE directory, including:

  • Business logo, photographs, and videos
  • Products, services, operating hours, and promotional information

You are responsible for ensuring that you have permission to submit and publish personal information, photographs, logos, or contact information belonging to another person.

Do not include a private home address, personal telephone number, or other sensitive information in a public listing unless you are comfortable making that information publicly available.

2.3 Payment and Transaction Information

When payments are required for events, programs, sponsorships, memberships, donations, or other services, payment information may be processed by a third-party payment provider.

BBE may receive limited transaction information, including:

  • Your name
  • Contact information
  • Payment status
  • Transaction date
  • Amount paid
  • Invoice or transaction number
  • The last digits of a payment card, where provided by the payment processor

BBE does not normally collect or store complete payment-card numbers or security codes.

When you visit the BBE website or use our online Services, BBE or its service providers may automatically collect:

BBE cannot control how third parties use information after it has been made public.

If you ask BBE to remove public information, BBE will take reasonable steps to remove it from platforms under its control. However, copies may remain:

  • In search-engine results or caches
  • On third-party websites or social media platforms
  • In printed materials
  • In archived records
  • In content previously downloaded, copied, or shared by others

Submitting photographs, videos, logos, biographies, testimonials, business descriptions, or other promotional materials to BBE authorizes BBE to use that material for the purpose for which it was submitted, subject to any specific written limitations communicated to and accepted by BBE.

6. Event Photography, Recordings, and Meeting Information

6.1 Photography, Video, and Audio Recording

BBE may photograph, film, livestream, or make audio recordings at BBE-organized or BBE-managed:

  • Events
  • Trade shows
  • Conferences
  • Workshops
  • Meetings
  • Networking activities
  • Community gatherings
  • Social functions
  • Business programs
  • Panel discussions
  • Presentations
  • Cultural performances
  • Virtual or hybrid sessions
  • Other organizational activities

These recordings may include an attendee’s image, appearance, voice, name, business name, statements, presentation, display, products, and participation.

BBE may use, reproduce, edit, publish, display, distribute, archive, and promote this content for legitimate organizational purposes, including:

  • Social media
  • Websites and business directories
  • Newsletters and email communications
  • Event recaps and promotional campaigns
  • Media releases and news coverage
  • Reports to funders, sponsors, and partners
  • Grant applications and impact reports
  • Educational and historical materials
  • Printed and digital publications
  • Promotion of future BBE programs and events

BBE may use this content without additional payment or compensation, subject to applicable law and any specific written agreement.

6.2 Notice at Events

BBE will make reasonable efforts to provide notice when photography, video recording, audio recording, or livestreaming is expected.

Notice may be provided through:

  • Registration forms
  • Event tickets
  • Confirmation emails
  • Event webpages
  • Vendor or participant agreements
  • Signs displayed at the venue
  • Verbal announcements
  • Notices provided at the beginning of a meeting or session

By registering for, attending, or participating in an activity after receiving notice, attendees acknowledge that photography or recording may occur and that they may appear incidentally in crowd, background, or general event footage.

Where an individual is the primary subject of an interview, testimonial, feature, or staged photograph, BBE may request additional consent where appropriate.

An individual who does not wish to be intentionally photographed or recorded should notify BBE before the event or speak with a BBE representative upon arrival. BBE will make reasonable efforts to accommodate the request but cannot guarantee exclusion from incidental crowd or background footage at a public or large community event.

6.3 Children and Event Media

Parents and legal guardians are responsible for informing BBE of photography or recording restrictions involving a child in their care.

BBE may require specific parental or guardian consent where a child is the primary subject of an interview, promotional feature, staged photograph, or video.

6.4 Meetings, Presentations, and Public Statements

BBE may take photographs, prepare minutes or notes, record a meeting, or publish a summary of a meeting, presentation, panel discussion, workshop, networking session, or community conversation where participants have received reasonable notice that the activity is being documented or recorded.

Statements, questions, presentations, and comments made during a public-facing or recorded session may be quoted, summarized, or referenced by BBE for reporting, promotional, educational, administrative, or archival purposes.

BBE will make reasonable efforts to present comments accurately and in context.

Attendance at an ordinary private meeting does not automatically authorize BBE to publish confidential, legally privileged, highly sensitive, or unrelated personal information discussed during that meeting.

Where BBE intends to record or publicly report on a private meeting, reasonable notice should be provided before the recording or publication.

Meeting minutes, internal notes, correspondence, and organizational records may be retained and used internally for:

  • Administration and governance
  • Program management
  • Accountability and reporting
  • Complaint and incident handling
  • Risk management
  • Insurance purposes
  • Legal compliance
  • Establishing, exercising, or defending legal rights

6.5 Confidential and Sensitive Information

Participants must not assume that a public event, open networking session, recorded presentation, or public-facing BBE activity is confidential.

Anyone sharing confidential, proprietary, privileged, financial, health-related, personal, or commercially sensitive information is responsible for confirming the confidentiality of the setting before disclosing it.

Where a meeting is expressly identified as confidential, BBE and its participants are expected to respect that designation, subject to disclosures permitted or required by law.

Nothing in this policy authorizes BBE or another participant to unlawfully disclose personal information, breach a confidentiality agreement, violate intellectual property rights, or publish legally privileged information.

6.6 Partner and Third-Party Events

When BBE participates in, supports, sponsors, or promotes an event organized by another organization, photography and recording may also be governed by that organizer’s notices and policies.

BBE may capture and use content at a partner event where permitted by the organizer, venue, applicable agreement, or law.

BBE is not responsible for photographs, videos, recordings, statements, or content independently collected or published by event organizers, media organizations, attendees, vendors, or other third parties outside BBE’s control.

6.7 Photography and Recording by Attendees

Attendees may take photographs or recordings for lawful personal or business purposes unless photography or recording is restricted by BBE, the venue, the event organizer, a speaker, or an applicable agreement.

Attendees and third parties must not:

  • Harass, intimidate, or deliberately target another person through photography or recording
  • Enter restricted areas to obtain photographs or recordings
  • Record a session or meeting after being advised that recording is prohibited
  • Publish confidential or unlawfully obtained information
  • Falsely suggest that BBE endorses a person, business, product, service, or viewpoint
  • Alter or present BBE-related content in a knowingly false, defamatory, deceptive, or materially misleading manner
  • Use BBE’s name, logo, photographs, or recordings in a way that falsely implies authorization, partnership, sponsorship, or representation

Nothing in this section prevents a person from preserving or using information for a lawful complaint, legal proceeding, regulatory matter, law-enforcement report, or another right available under applicable law.

6.8 Requests Concerning Published Content

A person may ask BBE to review or remove a photograph, video, recording, quotation, or other content by contacting info@blackbusinessedmonton.ca and identifying the content in question.

BBE will consider requests in good faith based on privacy, safety, accessibility, legal, contractual, and operational considerations.

Submitting a request does not guarantee removal where BBE has a lawful basis to retain or use the content.

Even where BBE removes content from platforms under its control, BBE cannot guarantee the removal of copies previously downloaded, shared, indexed, archived, or published by third parties.

7. Complaints, Incidents, and Conduct Reports

If you submit a complaint, incident report, harassment report, or policy violation report, BBE may collect the information required to understand and respond to the concern.

This information may include:

  • The identities of the individuals or organizations involved
  • A description of the alleged conduct
  • Dates, locations, and surrounding circumstances
  • Screenshots, emails, messages, recordings, photographs, or supporting records
  • Information provided by witnesses or other involved individuals
  • Steps taken and decisions made by BBE

BBE may use this information to:

  • Assess the complaint or safety concern
  • Contact the individuals involved
  • Review compliance with BBE policies and agreements
  • Establish communication or participation restrictions
  • Suspend or remove a business listing
  • Deny or cancel participation in a BBE program, event, partnership, promotion, or opportunity
  • Obtain professional, insurance, security, or legal advice
  • Contact law enforcement, emergency services, regulators, or other authorities where appropriate
  • Protect BBE, its representatives, participants, and members of the public

Information will be shared only to the extent BBE reasonably considers necessary to assess and address the concern, obtain advice, comply with the law, or protect individuals and organizational operations.

BBE cannot guarantee complete confidentiality because procedural fairness, safety, legal obligations, or an appropriate review may require that some information be shared with the individual or organization whose conduct has been reported.

Submitting a complaint does not guarantee a particular outcome. BBE is not required to investigate or mediate private disputes that fall outside its programs, platforms, events, representatives, or operations.

8. Community Conduct and Respectful Communication

BBE is committed to maintaining a respectful, professional, inclusive, and harassment-free environment for its staff, representatives, board members, volunteers, vendors, businesses, partners, sponsors, contractors, event participants, and members of the public.

Anyone interacting with BBE or participating in a BBE directory, event, program, partnership, platform, or promotional opportunity is expected to communicate and behave respectfully.

8.1 Prohibited Conduct

Conduct that may violate this policy includes:

  • Harassment, bullying, intimidation, threats, stalking, or repeated unwanted communication
  • Discriminatory, hateful, abusive, degrading, or sexually inappropriate language or behaviour
  • Personal attacks, insults, aggressive confrontation, or conduct intended to humiliate, frighten, or harm another person
  • Retaliation against a person who raises a concern or participates in a review
  • Knowingly false, misleading, or malicious statements concerning BBE, its representatives, vendors, partners, sponsors, or participants
  • Disruption of BBE events, programs, services, online platforms, or organizational activities
  • Unauthorized publication or distribution of confidential information or private communications, subject to applicable law
  • Misuse of BBE’s name, logo, directory, events, relationships, or platforms to pursue a personal dispute
  • Impersonating BBE or falsely claiming to speak on behalf of BBE
  • Conduct that creates a reasonable concern for the safety, wellbeing, reputation, integrity, or operation of BBE or its community

This standard applies to relevant conduct occurring:

  • In person
  • At BBE events and programs
  • By telephone, email, or text message
  • On social media
  • Through the BBE website or directory
  • Through public or digital platforms where the conduct is connected to BBE participation or reasonably affects BBE’s community or operations

BBE representatives are also expected to communicate professionally and follow BBE’s internal complaint and escalation procedures.

8.2 Independent Relationships and Private Communications

Businesses listed in the BBE directory and individuals participating in BBE activities remain independent from BBE unless a written agreement expressly states otherwise.

A directory listing, introduction, referral, event booth, sponsorship, promotion, collaboration, or participation in a BBE program does not create an employment, agency, partnership, joint venture, or representative relationship with BBE.

BBE is generally not a party to and does not control or assume responsibility for:

  • Private conversations or communications between independent vendors, participants, associates, customers, or other third parties
  • Personal, commercial, contractual, financial, or interpersonal disputes between independent individuals or businesses
  • Statements, promises, representations, products, services, or conduct of an independently operated business or participant
  • Transactions or agreements made independently between vendors, businesses, customers, or other third parties
  • Content published through platforms, accounts, or communication channels that BBE does not own or control

The opinions and statements of listed businesses, vendors, participants, associates, and third parties are their own and do not necessarily represent the views of BBE.

Nothing in this section excludes or limits any responsibility BBE may have under applicable law or arising from the actions of its authorized representatives.

8.3 Reporting Conduct Concerns

Concerns connected to a BBE listing, event, program, partnership, representative, or platform should be submitted in writing to info@blackbusinessedmonton.ca.

Reports should include, where available:

  • The names of the individuals or businesses involved
  • The date and location of the incident
  • A clear description of what occurred
  • Relevant screenshots, emails, messages, photographs, or other records
  • The outcome being requested

Information submitted in connection with a complaint will be collected, used, retained, and disclosed as described in this Privacy Policy.

BBE may review the concern, request additional information, communicate with the individuals involved, obtain professional advice, or refer safety concerns and suspected unlawful conduct to the appropriate authorities.

BBE cannot guarantee complete confidentiality because fairness, safety, legal obligations, or an appropriate review may require some information to be shared.

8.4 Enforcement

Where BBE reasonably believes that this policy has been violated, BBE may:

  • Issue a verbal or written warning
  • Establish communication boundaries
  • Require future communication to occur in writing or through a designated representative
  • Remove content or comments from BBE-managed platforms
  • Suspend, reject, or remove a directory listing
  • Cancel or deny participation in an event, program, partnership, promotion, or other opportunity
  • Restrict access to BBE representatives, events, facilities, or online communities
  • End a vendor, volunteer, sponsorship, partnership, or working relationship
  • Contact security, law enforcement, emergency services, a regulator, or another appropriate authority

BBE may take immediate interim action where it reasonably believes there is a safety, legal, operational, or reputational risk.

When circumstances permit, BBE will consider the seriousness of the conduct, available evidence, previous incidents, the responses of those involved, and whether corrective action is reasonably possible.

Submitting an application, registration, or business listing does not guarantee acceptance or continued participation. BBE may make eligibility and participation decisions in good faith, consistently with its mandate, policies, contractual obligations, and applicable law.

8.5 Honest Feedback and Legal Rights

Nothing in this policy is intended to prevent anyone from:

  • Providing honest feedback or expressing a sincerely held opinion
  • Reporting discrimination, harassment, unsafe conduct, or suspected unlawful activity
  • Cooperating with law enforcement, a regulator, a court, or another lawful authority
  • Seeking legal advice
  • Exercising any right available under applicable law

However, concerns must not be communicated through threats, harassment, retaliation, knowingly false statements, or misuse of BBE-controlled platforms.

9. Disclosure of Personal Information

BBE may disclose personal information in the following circumstances.

BBE may disclose personal information where you have requested or authorized us to do so.

9.2 Public Business Listings and Promotions

BBE may publish information submitted for inclusion in its directory, event materials, newsletters, websites, social media posts, promotional campaigns, reports, or other public communications.

Service providers are permitted to access information for the purpose of providing services to BBE, subject to their obligations and applicable laws.

  • Confirm eligibility or participation
  • Meet reporting requirements
  • Measure program outcomes
  • Recognize participating businesses or organizations

Where practical, reports will use aggregated or de-identified information.

BBE does not sell personal information to sponsors, advertisers, or other third parties.

9.5 Legal, Safety, and Enforcement Purposes

BBE may disclose information where it reasonably believes disclosure is necessary to:

9.6 Organizational Changes

If BBE undergoes restructuring, transfer, amalgamation, merger, or another organizational change, personal information may be transferred where permitted by law and subject to appropriate protections.

BBE takes reasonable steps to select reputable service providers and protect information under its control. You may contact BBE if you have questions about the processing or storage of information by service providers.

13. Retention of Information

BBE retains personal information only for as long as reasonably necessary to:

  • Fulfil the purposes for which it was collected
  • Operate programs and maintain appropriate organizational records
  • Meet legal, financial, insurance, contractual, and funding requirements
  • Address complaints, incidents, disputes, and safety concerns
